Registration

Registration is now open through https://uni-koeln.converia.de/frontend/index.php?sub=84.

Please register as student or regular attendee (special registration via voucher code applies to invited speakers only) and then enter the required information. Accompanying persons can be added during the registration process.

Fees (Early / Regular / Late):
Students: €220 / €260 / €300
Regular: €350 / €400 / €450
Accompanying: €120 / €160 / €200

Please note: Only credit card and payment via PayPal is possible.

  • Deadline for early bird registration: May 15, 2025
  • Deadline for booking a youth hostel: May 30, 2025
  • Deadline for final registration and submission of abstracts: June 30, 2025

Cancellation fee: €50 until May 30, 2025
No refund after May 30, 2025

The following services are included in the basic registration fee: 

  1. Public transport ticket (“CityTicket”)
  2. Coffee breaks throughout the conference
  3. Sunday evening welcome reception
  4. Wednesday afternoon excursion
  5. Conference dinner on wednesday evening

Please indicate your participation for points 3 to 5 and add your food preferences during the registration process so we will get a proper headcount of participants.

For the sake of sustainability, a printed book of abstracts will be provided upon request only. It can be ordered during the registration process and will come at a cost of 10 EUR. 

Optionally, lunch will be available at the campus restaurant “Mensa”. Mensa vouchers (8.50€ per meal including one drink) need to be booked during the registration process for each day individually. Other than the Mensa, the closer environment of the Physics department offers many food options satisfying most likings within walking distance.

Abstract submission

Abstract submission will be available upon registration. For abstracts it will be possible  to ask for a poster presentation or contributed talk (15 min). Decisions on the acceptance of contributed talks will be made by the scientific organizing committee. If not accepted as a contributed talk, contributions will be converted into a poster presentation. Young researchers (PhD students and postdocs) are particularly encouraged to submit contributions as talks. 

You can check out a detailed submission example under “Submitting an abstract” in this pdf below. In the abstract submission portal, you can exit the abstract area at any time, and the details of the previous page are saved. You can then access the abstract draft again from the C3 overview after logging in to your account. Create your abstract using the overleaf template. Make a copy of the file from the Overleaf Menu (top left), edit the abstract and upload the abstract pdf and the complete source zip with the .tex and image files. Please ensure that the compiled pdf does not have more than 1 page and the file size should not exceed 20 MB. Special characters can be entered in the title. If you wish to use a different special character than the options available, you can visit https://www.compart.com/en/unicode/ and find the special character. Copy the character in red and paste it into the title. You will be asked to choose at least 2 and at most 5 topics so that a suitable session for your talk/poster can be chosen. You can exit the abstract area at any time, and the details will be saved. You can then access the abstract draft again from the C3 overview (on the left) after logging in to your account.
